Ανάλυση Case study Super Cargo

Η αρχική ανάγκη του πελάτη

H Super Cargo λάμβανε κάθε μήνα πάνω από 4.000 τιμολόγια ναύλων (αγορές). Για ένα μικρό υποσύνολο των τιμολογίων, ο έλεγχος των ναύλων πραγματοποιούνταν αυτόματα μέσω διασυνδέσεων και document management λύσεων. Tα βασικά στοιχεία του κάθε τιμολογίου καταχωρούνταν χειροκίνητα.

Για το υπόλοιπο σύνολο, ο έλεγχος των ναύλων και η καταχώρηση των βασικών στοιχείων διεκπεραιωνόταν από υπαλλήλους της εταιρείας χειροκίνητα. Σε πολλές περιπτώσεις ο έλεγχος
των ναύλων πραγματοποιούνταν δειγματοληπτικά.

Το βασικό πρόβλημα της Super Cargo ήταν η αδυναμία υιοθέτησης ενός ενιαίου πρωτοκόλλου επικοινωνίας (EDI) με τους προμηθευτές της.

Η λύση στο πρόβλημα θα έπρεπε να είναι ανεξάρτητη από το πληροφοριακό σύστημα των προμηθευτών. Επίσης, η εξαγωγή δεδομένων έπρεπε είναι ανεξάρτητη από τον τύπο και το είδος των παραστατικών. Τέλος η εγκυρότητα των αποτελεσμάτων έπρεπε να ικανοποιεί τις απαιτήσεις της εταιρείας (>99%).

Οι στόχοι που επιτεύχθηκαν

Το έργο ξεκίνησε τον Μάρτιο του 2021. Σκοπός του ήταν η πλήρης αυτοματοποίηση της καταχώρησης δεδομένων (automated data entry) από τιμολόγια ναύλων στο ERP της Super Cargo.
Η λύση στις παραπάνω απαιτήσεις ήρθε από την Utilize και το λογισμικό PaperEntry.

Με την εφαρμογή του PaperEntry, η SuperCargo πλέον επεξεργάζεται αυτόματα το σύνολο (100%) των τιμολογίων που λαμβάνει. Παράλληλα έχει μηδενίσει την χειροκίνητη καταχώρηση πληροφοριών και ελέγχει καθολικά το σύνολο των ναύλων που εκδίδονται από τους συνεργάτες/προμηθευτές της.

Το σημείο που το PaperEntry έκανε τη διαφορά αφορά στην δυνατότητα κατανόησης και διαχωρισμού των πολλαπλών ναύλων που περιλαμβάνουν περισσότερα από ένα οχήματα, συρόμενα και αντίστοιχα οδηγούς, από ένα τιμολόγιο.

Ομοίως, το σύστημα μπορεί και αντιλαμβάνεται αν στο όχημα αντιστοιχούν περισσότεροι από ένας
οδηγοί (συνοδηγοί). Το σύνολο των παραστατικών λαμβάνεται σε μορφή PDF μέσω του API που έχει αναπτυχθεί μεταξύ της Super Cargo και της Utilize για τη λήψη των παραστατικών και την αποστολή των αποτελεσμάτων.

Η διαδικασία αυτή είναι πλήρως αυτοματοποιημένη και το μόνο που απαιτεί ανθρώπινη παρέμβαση είναι η εκπαίδευση της μηχανής. Πιο συγκεκριμένα, όταν αυτή δέχεται νέα παραστατικά, πρέπει να προσδιοριστούν αποσαφηνιστούν λεπτομέρειες με όρους προγραμματισμού. Για παράδειγμα, ποια από τις 3 ημερομηνίες που έχει το έγγραφο είναι η ημερομηνία έκδοσης του τιμολογίου και αντίστοιχα ποια η ημερομηνία του ταξιδιού που περιγράφεται στον ναύλο.

Αποτελέσματα

Από τον Ιούνιο του 2021 μέχρι τον Ιούνιο του 2022 τα αποτελέσματα είναι:

• 52.529 τιμολόγια ναύλων
• 73.732 σελίδες ναύλων
• 589.856 δεδομένα που αναγνώρισε το PaperEntry
• 99.96% εγκυρότητα αποτελεσμάτων
